How to Set Up a Meeting Room for Better Focus

Sort the Lighting First

Make sure that screens are positioned so that the window is on the side of the screen rather than behind or in front of it – this will minimise glare. However, it is also important to ensure that the natural light is not being blocked altogether. For rooms that are reliant on overhead lighting such as fluorescent tubes, check that the light is being distributed evenly around the room and that there aren’t any dark spots where the light may be being blocked by furniture etc. The Health and Safety Executive (HSE) publishes workplace environment guidance on issues such as lighting and temperature, which provides a useful reference point for creating a comfortable working environment.

Dampen the Sound

Hard surfaces on walls and floors create echo and whilst this may be a characteristic of a meeting room it can make it very difficult to concentrate. Adding rugs, pinboards and even piles of coats to the room can help to absorb sound. A simple draught-excluder strip on the door can also help to keep noise from the corridor out.

Clear the Surfaces

Clear surfaces. Remove leftover mugs, old meeting papers and cables from previous meetings from the tables. Clean the surfaces before a meeting and keep the walls empty of papers, whiteboards, pinboards etc.

Test the Technology Beforehand

Plug in the display, check that it is connected correctly (HDMI or wirelessly) and run through any video conferencing software that you are using before the first person arrives in the room. Use cable tidies or hooks on the wall to keep cables out of the way of work.

Set Out the Basics

Provide each person with water, pens and a notepad to prevent unnecessary interruptions through having to leave the room. Small breaks can take a long time to get back on track.
